Feature

Auto Task Creation

Overview

The Auto Task Creation feature helps you automatically generate tasks for recurring services based on predefined schedules. This reduces manual effort and ensures tasks are created on time for all applicable clients.

By default, Auto Task Creation is enabled for all active licenses. Users can opt out of this feature from Office Configuration, if required.

⚠️ Auto Task Creation works only for recurring services and requires Schedulers to be configured at the service/compliance level.


Prerequisites

  • The service must be marked as Recurring
  • A Scheduler must be created under the service’s Compliance settings
  • Without a scheduler, tasks will not be created automatically

How to Configure Auto Task Creation

Step 1: Open the Service

  1. Go to Service List
  2. Click on the recurring service you want to configure
  3. You will be redirected to the Service View page
  4. Navigate to the Compliance tab
  5. Scroll to the Schedulers section
  6. Click Add Scheduler

Scheduler Configuration Fields

Fill in the following details while creating a scheduler:

1. Periodicity

Select how often the tasks should be created:

  • Monthly
  • Quarterly
  • Half-Yearly
  • Yearly

2. Due Day

Defines the task due date relative to the end of the period.

Example: If the task is for January and the due date should be 11th February, enter 11.

  • Positive (+) and Negative (-) values are supported

3. Creation Day

Defines when the task should be created relative to the end of the period.

  • Positive (+) and Negative (-) values are supported
  • This controls how many days after (or before) the period end the task is created

4. Auto Task Creation

Select:

  • Yes – to enable automatic task creation
  • No – to disable automatic task creation for this scheduler

5. Start Month of the Service

Select the month from which the task cycle should begin:

  • January – if your office follows the Calendar Year
  • April – if your office follows the Financial Year

6. Compliance Year Offset

  • Keep this value set to 0

7. Copy Data from Previous Task (Optional)

If Auto Task Creation = Yes, you can choose to copy the following from the immediately previous period’s task:

  • Team members
  • To-dos
  • Labels
  • Documents
  • Subtasks

Task Creation Logic

  • Once a scheduler is saved, the system calculates and stores the next task creation date

  • On the scheduled date, tasks are created automatically at 8:00 AM

  • Tasks are generated for all clients where the service is applicable for that periodicity

  • After task creation:

    • The next auto task creation date is updated automatically
    • The process continues for future periods without manual intervention

Important Notes

  • Multiple schedulers can be created for different periodicities under the same service
  • Ensure schedulers are reviewed carefully to avoid incorrect task creation
  • Any changes to the scheduler will affect future task cycles only
